Spokn Platform Roles & Permissions

This article outlines the different user roles available in Spokn and what each role is permitted to do.
Roles determine what a user can access, create, edit, publish, and manage within the platform.
Overview of Roles
Spokn typically includes four primary platform roles:
- Admin
- Creator/Editor (Content Manager)
- Contributor
- Viewer (Member)
Permissions may vary slightly depending on your organization’s configuration.
1. Admin
Highest level of access
Admins have full control over workspace settings, users, and content.
Permissions
- Manage workspace settings
- Add and remove users
- Assign and update user roles
- Create, edit, and publish content
- Manage integrations (e.g., Slack, Microsoft Teams)
- Access analytics and engagement metrics
- Configure system-level permissions
Typical Users: HR leaders, Internal Communications, IT administrators.
2. Creator/Editor (Content Manager)
Content creation and publishing role
Creator/Editors are responsible for managing and maintaining content within Spokn.
Permissions
- Create and edit content (FAQs, guides, announcements)
- Publish content (if publishing permissions are enabled)
- Organize content into categories or collections
- View analytics for content performance
Limitations
- Cannot manage billing
- Cannot modify workspace-level settings
- Cannot manage user roles (unless explicitly granted)
Typical Users: Internal Communications team members, content owners, department leads.
3. Contributor
Limited content creation role
Contributors support content creation but typically require approval before publishing.
Permissions
- Draft and submit content
- Suggest edits to existing content
- Record and upload updates (if enabled)
Limitations
- Cannot publish content independently
- Cannot manage users or workspace settings
Typical Users: Subject matter experts, team leads, department representatives.
4. Viewer (Member)
Read-only access
Viewers consume content but do not create or edit it.
Permissions
- Search and view published content
- Engage with content (e.g., react, comment — depending on configuration)
Limitations
- Cannot create, edit, or publish content
- Cannot access admin settings
Typical Users: General employees.

Best Practices for Role Assignment
- Assign Admin access sparingly.
- Use Creators for teams responsible for ongoing content updates.
- Assign Contributors to subject matter experts who provide input.
- Default most employees to Viewer access.
